How It Works — Step by Step

1. Employer contacts Rock Notary

Reach out by phone, email, or the booking form to schedule service. Provide the employee's name, contact information, and preferred appointment location.

2. Employee completes Section 1

The new hire fills out Section 1 of Form I-9 on or before their first day of work. (We can provide guidance if needed.)

3. We meet the employee in person

Sandra Rock meets the employee at a mutually convenient location anywhere in the Triangle.

4. Documents are reviewed and recorded

We physically examine original acceptable documents from the USCIS Lists and complete Section 2 on behalf of the employer.

5. Completed form returned to employer

The finished I-9 is returned to the employer promptly for their records. Employers are responsible for retention.

Yes. Federal law permits employers to designate any person as their Authorized Representative to complete Section 2. There is no required certification — however, the employer remains legally responsible for any errors made by their representative.


Employees must present original, unexpired documents from the USCIS Lists of Acceptable Documents — either one document from List A (establishes both identity and work authorization), or one document each from List B (identity) and List C (employment authorization). We will review the list with your employee at the appointment.


Our standard service requires in-person physical examination of original documents, as required by federal regulations. We do not currently offer DHS-authorized alternative remote examination procedures. Contact us if you have questions about your specific situation.


Most appointments are completed in 15–30 minutes depending on the documents presented.


Absolutely. While only employers in Puerto Rico may officially use the Spanish-language version of Form I-9 for recordkeeping, we can fully communicate with your employee in Spanish during the appointment to ensure they understand the process.
